Not every merchant will remain on a paid plan forever. A business may reach a point where its current needs no longer justify the contribution, or its circumstances may change. When that happens, the right response is not pressure. It is good merchant management.
First, Understand What Changes
Under the current Knomart model, a merchant who drops to Free keeps the starter kit and their records. What they lose is access to capabilities their business may have grown into, such as additional users, automation, analytics and other higher-plan functionality.
That distinction matters. The merchant has not disappeared from Knomart. Their business history has not been held hostage. They have simply returned to a lower level of capability.
Talk Before You Assume
If the merchant is approaching a drop, the agent should first understand why. Is the business temporarily under pressure? Has its operation become smaller? Is a feature no longer needed? Or is there a problem with the service that needs attention?
The answer determines what the agent should do next. Not every merchant needs to be persuaded to remain paid.
Use the Resolution Window
The current merchant journey gives the agent a 14-day period to help before a merchant drops. That creates an opportunity to resolve genuine problems while there is still time.
An agent should use that period for useful support—not pressure. If the merchant's problem can be solved, solve it. If the merchant genuinely needs the Free plan, respect the decision.
Keep the Relationship Healthy
A merchant returning to Free can still be a future customer. If the business grows again and needs capabilities available on a paid plan, the merchant can return.
That is why an agent should avoid treating a downgrade as a lost relationship. The better approach is to leave the merchant with a clear understanding of what they keep, what changes and what options are available if their needs change.
Retention Is Not Pressure
The goal of an agent is not to keep every merchant paying at any cost. It is to build relationships that make sense for the merchant's actual business.
When a merchant drops back to Free, serve them well, understand why, protect the relationship and be ready when their business needs change.
