Some businesses do not sell transactions, they sell a cycle. A landlord, a gym, a chama, a service on retainer — all are owed the same amount by the same people, repeatedly. That shape has its own failure mode.

Revenue is predictable in theory and unpredictable in practice, because the gap between what is due and what arrives is where the whole business lives. A landlord with twenty units does not have twenty payments — they have twenty due dates, some of which will be met.

  • Who owes what, and when it falls due — the schedule, not just the list of customers
  • Expected against received, for the cycle
  • Age of arrears — one month behind and four months behind are different problems
  • Payment behaviour over time — the pattern, not the incident
  • Partial payments, which are neither paid nor unpaid and are usually lost between the two

Why timing decides the outcome

A customer one cycle behind can usually catch up. A customer three cycles behind is being asked to pay four times their normal amount in a month they were already struggling in — which almost never happens. The debt that becomes unrecoverable was recoverable at day five.

That is why the reminder before the due date is worth more than any collection effort after it.

Consistency is the whole method

Collection works when it is a routine rather than a reaction. Every customer contacted on the same schedule, in the same way, with the same record kept. Chasing only the ones you happen to remember teaches everyone else that the deadline is negotiable.

Separate the emergency from the pattern

Someone with one difficult month and a good history deserves a different response from someone whose payments have been drifting for a year. You can only tell them apart if the history is written down.
