Item State: Tracking Things That Belong to Someone Else

Repairs, garments, laundry, equipment on hire. When you hold a customer's property, its state is your obligation.

Some businesses take possession of a customer's property and give it back changed: repaired, cleaned, altered, or simply returned after hire. That creates an obligation ordinary stock tracking does not cover.

Every item has a state

Received, in progress, waiting for a part, ready, collected. The item is somewhere on that path at all times, and the business needs to be able to say where without going to look.

When a customer asks whether their item is ready, "let me check" is an acceptable answer once. It is not an acceptable process.

Condition at handover, both ways

Note the condition when the item arrives and when it leaves. Existing damage, missing parts, the quantity of fabric supplied. This takes a minute and prevents the single worst conversation in these trades: whether the damage was already there.

Deposits are not takings

A deposit is the customer's money held against a return or a balance. Recording it as income makes the month look strong and leaves an obligation you have already spent. It belongs in its own record, always, and it has to be returnable.

The uncollected shelf

Every business of this kind has one, and it is always bigger than the owner thinks. Finished work nobody collected occupies space, ties up materials, and often represents money already earned but never taken. A list of what is there and how long it has been there converts it into a short set of phone calls.

Turnaround is a promise

The date you gave the customer is the one thing they will judge you on. Tracking what is due today and what is already late is what turns turnaround from an aspiration into something you manage.

What to record

Item, customer, condition in, promised date, current state, condition out, date collected, and any deposit held. That short list covers almost every dispute these trades produce.
