The important thing is to know the difference instead of treating every member as paid.
Ask Who Is Actually Paid Up
A useful membership record should make the payment status of each member clear.
You should be able to distinguish between someone who has paid, someone whose payment is due, someone who is late and someone whose account needs another explanation.
Without that distinction, a long membership list can create a false sense that collections are healthy.
Do Not Wait Until Month-End
If payment information is only reviewed at the end of the month, late accounts can quietly accumulate.
Regular checks make it easier to identify who needs a reminder while the payment is still recent. They also help the gym understand whether its collection process is improving or getting worse.
Look at the Gap
The useful question is not simply, “How many members do we have?”
Ask instead: “How many members should have paid, how many have paid, and which accounts explain the difference?”
That turns a vague collection problem into a list of specific accounts that can be reviewed.
